POSITION: RECEPTIONIST

DESCRIPTION

An employee in this class operates an agency’s switchboard in processing telephone calls. The employee also acts as a receptionist, receiving visitors and clients, and performs routine clerical tasks, including sorting and distributing mail, scanning documents and typing. The employee is responsible for establishing good relations with callers, for behaving in a professional manner and for cultivating standards of conduct that reflect to the credit of the agency.

DUTIES AND RESPONSIBILITIES (NOT ALL INCLUSIVE)

Answers all incoming telephone calls, supplying general information and making proper connections to persons requested;
Makes outgoing calls and all interoffice calls;
Receives and delivers messages by telephone between departmental personnel and outside persons;

FACTOR II: SUPERVISOY CONTROLS

The receptionist is directly supervised by a higher level officer who outlines scope of duties.

FACTOR III: GUIDELINES

The receptionist is guided by the Department’s policies, rules and regulations and must maintain a professional attitude in the performance of all duties.

The receptionist adheres to the Health Insurance Portability and Accountability Act (HIPAA) and keeps in confidence all written correspondences and business conversations.

FACTOR IV: COMPLEXITY

The receptionist is regularly required to work on multiple concurrent tasks with constant interruptions, and interact with other staff members, the general public and others encountered in the course of work, some of whom may be dissatisfied individuals.

FACTOR V: SCOPE AND EFFECT

Assists management by attending to a wide variety of clerical duties, which are necessary to ensure an uninterrupted workflow.

Contacts are with co-workers, employees from other government agencies, and the general public.

Records Clerk - Human Resources

POSITION: RECORDS CLERK - HUMAN RESOURCES

DESCRIPTION

This position involves a variety of advanced technical and specialized personnel-related duties associated with the Human Resources Division. Work in this class involves the maintenance of official files and records for government employees and retirees, ensuring that records are accurately filed in accordance with applicable laws and rules and regulations. The employee in this position must maintain strict confidentiality of records and other sensitive information that is submitted to the division for processing. Immediate supervision is received from a higher-level officer.

DUTIES AND RESPONSIBILITIES (NOT ALL INCLUSIVE)

Files sequentially all documents in the employee’s Official Personnel Record (OPR) folder and file in appropriate cabinet;
Exercises complete confidentiality appropriate to requirements of the job;
Maintains all government employee personnel records and record room in compliance with rules, regulations and established procedures;
Enters data or information into a terminal, PC or other keyboard device;
Maintains and processes documents using the Electronic Resource Program (ERP);
Retrieves OPR folder when requested;
Uses computer to maintain record of OPR folders;
Establish OPR’s for new employees;
Performs simple filing according to clearly defined categories and classification criteria;
Serves as an alternate in the absence of and/or lunch breaks for the receptionist;
Performs other related duties as required.

Knowledge of the capabilities of the general purpose digital computer and its peripheral equipment especially as they relate to record keeping;

The purpose of this work is to maintain proper control of employees and retirees’ employment records making sure that all pertinent documents are safely filed in the employees’ OPR folder;

Routine data entry may include routine clerical including the utilization of keyboard to input numerical data and text.

Refrigeration Engineer

POSITION: REFRIGERATION ENGINEER

DESCRIPTION

This is advanced professional engineering work in installing, constructing, repair and maintenance of refrigeration equipment. Work involves the application of specialized engineering knowledge in the maintenance of refrigeration equipment and cooling system and is performed with considerable independence due to the specialized nature of the work performed. General instruction and supervision is received from an administrative or maintenance supervisor through periodic inspection of the plant facilities.

DUTIES AND RESPONSIBILITIES (NOT ALL INCLUSIVE)

Prepares plans for installation of equipment and determines necessary power requirements for operation;
Plans and recommends changes or additions to the existing circulating system to secure maximum plant efficiency;
Determines safety factors for operation of equipment and designs necessary cut-off or release valves;
Prepares plan designs and specifications for modification of equipment and circulating system and develop methods of maintaining and utilizing standby equipment;
Makes periodic inspection of plant and operating equipment to determine maintenance of proper temperatures, equipment to ensure proper working conditions and general operating efficiency of the plant;
Repair compressors, condensers and other equipment;
Requisitions necessary spare parts and supplies needed for the proper maintenance and operation of the refrigeration equipment;
Instructs operating personnel in work to be performed and precautions required in the operation of the equipment and proper methods of reading gauge and pressure records;
Performs related work as required.

KNOWLEDGE, SKILL AND ABILITIES

Knowledge of the principles and techniques of refrigeration equipment including compressors, condensers and electrical motors;
Knowledge of the temperatures required for maintaining perishables and other commodities in proper condition to prevent spoilage;
Knowledge of the construction methods particularly as they relate to the installation of refrigeration equipment and cooling systems;
Ability to design refrigeration installation sand to estimate construction, installation and operating costs;
Ability to determine repair and maintenance needs and inspect completed work to determine if it meets operating and safety standards;
Ability to make repair and adjustments to refrigeration equipment;

Ability to read, write, understand and follow simple oral and written instructions.

Registrar

POSITION: REGISTRAR

DESCRIPTION

Under general supervision from the school principal, directs the registration activities of students coming into the public school system, coordinates class schedules with room assignments, and maintains record system related to the same. Assignments are completed in accordance with established policies and procedures, but independent judgment is sometimes required. Work is reviewed through observations and staff conferences.

DUTIES AND RESPONSIBILTIES (NOT ALL INCLUSIVE)

Initiates and completes all work connected with registration of students in school;
Corresponds with school officials to request information and to answer inquires regarding students’ transcripts and scholastic standings;
Complies scholastic ranking of graduates and other pertinent statistics;
Prepares periodic reports for school officials based upon registration data;
Schedules classrooms according to courses of study to be offered, maintain a master listing showing classrooms assigned and the classrooms available;
Maintains records of registration cards, schedule cards, dropouts, “on condition” students and all other records as necessary;
Prepares or ensures that all necessary forms for scheduling students are available;
Reviews registration forms and transcripts for students for placement;
Directs students to appropriate counselor for preparation of course selection form;
Request transcripts for students;
Issues transcripts as requested by past and present students;
Verifies enrollment for Social welfare Housing, Food Stamps, Armed Forces and Social Security;
Prepares examination schedule for midterm and final exam;
Determines scholastic ranking of graduating students as of the at the end of 11th grade, first semester of 12th and final 12th;
Prepares and maintains roster of students enrolled;
Custodian of cumulative records and report cards;
Ensures that report cards and cumulative records are prepared for all students enrolled;
Determines whether or not a possible graduate has met graduate requirements;
Performs related work as required.
Identifies gifted children and suggests accelerated programs for such children;
Prepares case histories and reports outlining diagnostic results of the tests as a basis for planning the type of treatment;
Plans and supervises in-service training programs for teachers to meet the needs of students;
Provides to school personnel, parents and certain community agencies clinical and diagnostic information regarding children learning and emotional problems;
Prepares and submits required reports to the principal;
Participates in case conferences and research programs;
Participates in the development and administration of programs in the department;
Prepares and maintains comprehensive case records on each client in accordance with local and federal standards;
Performs related work as required.

School Guidance Counselor

POSITION: SCHOOL GUIDANCE COUNSELOR

DESCRIPTION

Under general supervision of the school principal the individual would perform the duties of guidance counseling in a public school setting. An employee in this class works as a member of the school staff and is responsible for providing comprehensive guidance to all students with a focus on acceptance of self, decision making and effective communication for improving human relation skills. Classroom guidance is provided to teachers to assist in areas such as career education, career decision- making, study and test taking skills, building self esteem and establishing positive teacher and parent involvement.

Assists parents, teachers, and administrators in relating positively to students by improving human relation skills;
